The existing process required a way to collect enquiries, maintain original submission records, and provide staff with a practical workflow for managing and progressing orders.
Challenge
The organisation required a system that could preserve the original form data exactly as submitted, while also allowing staff to consolidate enquiries into a central view for easier management. This central system needed to support internal workflows, including reviewing submissions, updating records where necessary, and tracking the progression of enquiries through to active order fulfilment with the relevant farmers.
The main challenge was therefore to design a workflow that maintained data integrity at the point of submission while also enabling practical day-to-day management of enquiries and orders within the organisation.
Solution
I designed and implemented a workflow using Airtable that connected website enquiry forms to a structured order management process.
Each enquiry form was configured to submit directly into its own Airtable table, preserving the original data exactly as submitted by the user.
I then created Airtable automations that:
- Aggregated submissions from multiple forms into a central combined table
- Preserved the original records for auditing and reference
- Created and maintained a separate order-tracking table
- Supported internal workflows for follow-up, coordination with farmers, and order progression management
This structure separated raw customer submissions from operational records, allowing staff to maintain data integrity while still managing enquiries efficiently.
Outcome
The new workflow transformed website enquiries into a structured process that could be tracked from initial enquiry through to farmer follow-up and order fulfilment.
Staff gained a centralised system for managing enquiries, reducing manual administration and improving visibility of order status across the organisation.
